How Deskova handles website, client, resident, PMO/admin, support, product-improvement, and AI-assisted workflow data.
Who we are
Deskova Technologies OPC provides a web-based property operations platform for PMO/admin-led workflows, resident concerns, notices, billing follow-up, records, and related services.
When this applies
- When you visit deskova.app or related Deskova websites.
- When you contact Deskova for pricing, support, demos, onboarding, or business inquiries.
- When you use Deskova as a client administrator, PMO staff member, resident, owner, tenant, vendor, contractor, or other authorized user.
- When your information is included in records, concerns, notices, billing follow-ups, messages, attachments, or workflows processed through Deskova.
Controller and processor roles
- For data submitted by a property, PMO, building administrator, or client organization into Deskova, that organization usually determines why and how the data is used. Deskova processes that data on its behalf.
- For Deskova’s own website, sales, billing, security, support, account, and business records, Deskova may decide the purposes and means of processing.
- If you are a resident or end user, your property administrator or PMO may be the primary contact for requests about records they control.
Personal data we may process
- Identity/contact data: name, email, phone, role, organization, property, unit, resident profile, account details.
- Workspace data: concerns, tickets, messages, comments, notices, warnings, billing follow-ups, attachments, status changes, categories, priorities, assignments, and audit history.
- Billing/subscription data: plan, invoices, payment status, billing contacts, transaction references, and payment processor metadata.
- Support/sales data: inquiries, demo requests, issue reports, onboarding data, and communications.
- Technical data: browser/device data, IP-related logs, usage events, diagnostics, security logs, cookies, local storage, and similar technologies.
- Sensitive information may appear if a user submits it in free text or attachments. Users should avoid unnecessary sensitive information.
How we use data
- Provide, operate, secure, maintain, and improve Deskova.
- Manage accounts, roles, permissions, properties, units, residents, and workflows.
- Process concerns, notices, billing follow-ups, warnings, support requests, attachments, and records.
- Send administrative, service, billing, security, support, and account messages.
- Provide AI-assisted features such as suggested categories, suggested replies, staff-only summaries, duplicate detection, SLA warnings, and reports.
- Analyze aggregated, anonymized, redacted, or synthetic information to improve product performance, workflow design, reporting, automation, and AI-assisted features.
- Prevent abuse, investigate security issues, enforce terms, comply with legal obligations, and protect rights.
Legal bases and lawful purposes
We process personal data only where we have a lawful basis or legitimate purpose under applicable law. Depending on context, processing may be necessary for contract performance, legal compliance, legitimate business operations, consent, protection of rights, or the instructions of the client organization using Deskova.
AI-assisted features
- Deskova may use AI-assisted features to help authorized staff organize, summarize, classify, and respond to operational records.
- AI output is intended to assist authorized users and should be reviewed before use.
- Deskova does not use raw client or resident data for public marketing demos or public/shared AI model training by default.
- Deskova may use privacy-safe aggregated, anonymized, redacted, or synthetic information for quality testing, product improvement, and feature development.
- Internal-only AI summaries and staff notes are designed to remain staff-facing unless the client organization chooses otherwise.
Product analytics and improvement
We may use platform telemetry, usage patterns, error reports, security events, aggregate metrics, anonymized information, redacted examples, or synthetic data to improve Deskova. We do not publicly disclose identifiable client, property, resident, unit, or staff information without written approval.
Sharing and subprocessors
We may share personal data with service providers for hosting, database, authentication, deployment, email, SMS, support, analytics, security, payment, and AI. We may also disclose information where required by law, legal process, enforcement of terms, security protection, or corporate transactions.
International processing
Deskova and its service providers may process data in the Philippines or other countries where providers operate. We use contractual or other reasonable means to support appropriate protection, subject to applicable law and provider terms.
Cookies and similar technologies
Deskova websites and applications may use cookies, local storage, analytics, session tokens, security tools, and similar technologies to operate the service, remember preferences, secure sessions, measure performance, and improve experience.
Retention
We retain personal data as long as needed to provide services, support accounts, meet legal and contractual obligations, resolve disputes, maintain security, enforce agreements, and support legitimate operations.
Your rights
Depending on applicable law and your relationship with Deskova or the client organization, you may have rights to be informed, access, correct, object, request deletion or blocking, withdraw consent where consent applies, and lodge a complaint. If your data is controlled by a property or PMO, we may direct your request to that organization.
Security
We use reasonable and appropriate organizational, physical, and technical measures to protect personal data. No system is completely secure, and users should protect credentials and avoid unnecessary sensitive information.
Children and minors
Deskova is not designed for direct use by children without property, guardian, or authorized adult involvement. If a child’s information is included in a property record, the client organization is responsible for authority or lawful basis.
Promotional cards
Where enabled, resident portals may show first-party or client-approved promotional cards, service information, or local provider content. Unless expressly stated, these are not third-party ad-network placements or third-party behavioral advertising tracking.
